Our website https://dental kids.care/ (the “Site”) is operated by Dental Kids which is a trading name of Dental Kids Limited. We are a limited company with registered address 52 Chiswick High Road, London, UK, W4 1SZ and registration number 9470871 (“we”, “our”, or “us”). Dental Kids is a dental practice dedicated to treatment of children and teenagers. We cover all dental and orthodontic needs and create smiles that last a lifetime offering the latest in prevention and treatment options both for paediatric dentistry and orthodontic treatment (the “Services”).

We value your privacy and keeping your data safe is our priority. We have created this Privacy Policy to inform you of our privacy practices.

This Privacy Policy describes how we collect, store and process personal information in connection with the provision of our Services. Dental Kids takes your privacy seriously and aims to comply with all applicable Data Privacy regulations including the UK Data Protection Act 2018. We handle personal data with care and only process the necessary data to provide you with a high-quality service, to ensure appropriate clinical care.

  1. Information we collect about you 
  • Patient registration information. When you join our practice as a new patient, use our Services or contact us for customer care you provide us personal data. This includes personal information, like your name, address, date of birth, contact number, email, billing and shipping address and other information you voluntarily share with us.
  • Sensitive data. We may process data concerning your health which may include past, current or future physical health status. This may include information about your past medical history, current conditions or other information that may be required to assess your health status. This type of information is classed as sensitive by law and we take great care to keep it confidential and secure.
  1. How we collect your information

We collect personal information as part of the patient registration process or in the course of treatment. You will be asked to provide personal information when joining our practice. You may give us information about you or your child through by filling in patient registration forms on-site, via the telephone, email correspondence or via our Site. During the initial contact we only ask for name, phone number and email in order to deal with your enquiry. We may also collect gender, NIN, NHS number and other information about your dental and general health, including clinical records made by other relevant medical professionals involved with your care and treatment.

We also provide an online portal where other medical professionals can use our online referral form. To complete the referral form patient details may be required including title, name, address, email, telephone, reasons for referral and relevant medical history.

Dental Kids takes into account the principle of data minimisation under the GDPR to ensure no more data is processed than necessary. We aim to collect the minimum information required to provide medical services care to you. The personal data that you agree to share with us may be processed to help us better understand our patients’ needs and provide high-quality services, to continuously monitor and assess our patients’ condition.

Under the GDPR, personal data can only be processed where one of the specific conditions for processing is satisfied.  We may process data for different purposes and we rely on the following legal basis for processing as defined by the GDPR to ensure all of our purposes of processing are legally justified:

  • Consent. We will acquire parental consent where applicable. Where we would like to process special categories of data, like health, biometric or genetic data we will only do so with your explicit consent if required by law, unless we have to comply with other legal obligations.     1. We use account information in a password-protected environment and host our data in a secure cloud environment.  We maintain a high level of data protection via safeguards such as data backup, audit controls, access controls, and data encryption. We use industry-standard SSL encryption to enhance the security of electronic data transmissions.
    2. We use end-to-end encryption and access control for software when storing patient data. For referrals, we safely transfer our patients’ details in our database on a stationary server and then delete data once transferred for any other records.
  1. Data access & disclosure
    1. At Dental Kids, we restrict access to personal information to only those who need to see this information, staff and suppliers who need to access this information are subject to strict contractual confidentiality obligations.
    2. Dental Kids will adhere to all applicable regulatory requirements to the extent that it has access to, or otherwise stores, processes or transmits personal data. We evaluate these safeguards on an ongoing basis to help minimize risks from new security threats as they become known. However, as it is the case with all websites, we are unfortunately unable to guarantee security for data collected through our website.
  1. Your data subject rights 

Under certain circumstances, by law, you have a number of rights in respect of your personal data.  These include the right to:

  • Request access to your personal information.
  • Request that we correct the personal data we hold about you if it is inaccurate or out of date.
  • Request that we erase your personal data where there is no good reason for us continuing to process it.  Dental Kids is obliged to delete your data no later than one calendar month days after your request. When you request that we erase your personal data we will comply, unless there is a lawful reason for not doing so. If you request to erase medical information we may refuse, give a written reason for refusal, or a request to erase data if we have a lawful reason to do so. In our case, it will be because Dental Kids is obliged for legal reasons to retain medical information for 10 years after the last time you use our systems.
  • Request that we restrict the processing of your personal data where there is a dispute about its accuracy or the reason for processing it.
  • Request the transfer of your personal information to another party where our processing of it is under a contract or based on your consent and the processing is carried out by automated means.

We store your personal data for no longer than is necessary and to ensure we deliver our services smoothly, we provide you with our services at the highest level and contribute to the medical community for research purposes.  We are required to retain certain data relating to health such as medical records in accordance with specific statutory frameworks applying to medical care providers for 10 (ten) years.
